Your bar stock and cocktail list

Cocktails shows what your bar can make from what it stocks. Tick the bottles you carry, count them against a par level if you like, and the page tells you what you can pour tonight and what is running low.

Quick answer

Open Cocktails in the sidebar and choose Bar stock. Use Start from a kit, or tick what you carry shelf by shelf. Back on Cocktails, the Can make filter shows tonight's list. Switch Bar stock to Count to enter what is on hand and a par, and anything under par shows as running low.

1. Who can do what

Everyone on the team can read Cocktails, in the sidebar under Business, and filter by the saved lists. Admins and management can change stock, recipes, counts and lists. Anyone else can too once an admin gives them "Manage experiences, service periods and the bar" in Team access. The Bar stock and Add cocktail buttons only show to people who can make changes.

2. Tell it what your bar carries

Bar stock has a shelf for each part of the bar: Spirits, Liqueurs, Wine and vermouth, Bitters, Syrups, Juices, Fruit and herbs, Mixers, Pantry and Glassware. In What we carry, tick each item you stock, search every shelf at once, or add your own item to a shelf.

The Gaplessly bar stock page: 88 of 197 cocktails ready to make tonight, the best next buys with how many drinks each adds, and the starter kits
  • Start from a kit adds a typical set of bottles in one go: Essentials, Classic cocktail bar, Aperitivo, Agave bar, Tiki, or Pub and restaurant. A kit only ever adds; untick anything you don't carry.
  • The bottle shelves (spirits, liqueurs, wine and vermouth, bitters) always decide what you can make. The other shelves are assumed on hand until you tick something on one; from then on, anything unticked on that shelf counts as missing.
  • The card at the top shows how many cocktails are ready to make tonight, how many are one item away, and up to four best next buys: single items that would each add drinks to tonight's list.

3. Find a drink

  • Filter the list by Can make, One away (exactly one item missing) or All. The page opens on Can make, and search and Filters only look within the one you have picked, so choose All to search the whole library.
  • Each card says Ready, names the one thing it needs, or says how many things are missing. Open it to see which.
  • Search a drink or an ingredient, or open Filters for strength, sweet to dry, base spirit, what it is made with, glass, method, or alcohol-free.
  • Measure in switches every recipe between ml, fl oz, parts and cl. Your choice is remembered on that device.

4. Your own recipes and shared lists

  • Add cocktail writes a recipe of your own. Every ingredient starts marked as a Bottle, so untick anything you don't stock as a bottle, like juice or sugar syrup. A bottle always decides whether you can make the drink; anything else only counts once you track its shelf on Bar stock.
  • On a classic, Edit it to your house spec, Hide from staff to keep it off the team's list, or Reset to classic to undo your edit.
  • The heart saves a drink to Favourites, and Save to a list adds it to a list you name, such as a summer menu or happy hour. The whole team sees the lists.
  • Print prints a recipe sheet of whatever the list is currently showing, handy for staff training.
  • Spec drills, at the top of Cocktails, opens the Academy drill for your specs. Practise this drink, in a drink's full recipe, opens it on that drink.

5. Counting stock and par levels

Switch Bar stock to Count. For each ticked item, enter what is On hand and the Par you like to keep, in bottles or ml. An item is low when it is counted at zero or below par; an item you have not counted is never shown as low.

The Gaplessly cocktail list: a Running low card naming Campari, sweet vermouth and Aperol with the drinks each one puts at risk, above cocktail cards with their renders

Once something is low, a Running low card appears at the top of Cocktails, naming the items and the drinks at risk: ones you can make now but couldn't without that item. A second bottle that covers the same recipe means that drink is not at risk. Update counts opens Bar stock; switch it to Count to enter the new figures.

Note:Counts are entered by hand. Gaplessly does not read sales from your till to lower stock, and it does not work out orders for you.

6. What your plan includes

The bar tools are on every venue plan. The cocktail library, the shelves, saved lists and the low-stock card are never limited. What steps up by plan is how many saved cocktail recipes you keep visible to staff (your own recipes, plus any classic you have edited, or hidden and shown again) and how many items carry a count or a par. Any counted item uses a slot, not just bottles.

During your free trial there is no limit, because the trial runs on Venue Pro. If the trial ends without a card on file, you get Venue Starter's limits. A limit only stops you adding a new one: a new recipe, a first edit of a classic, showing a hidden recipe again, or a first count. Everything you already have keeps working on a smaller plan. To make room, reset a classic, delete or hide a recipe, or clear both On hand and Par on an item you no longer count.

7. Common questions

I searched for a drink and it isn't there. Why?
The page is probably on Can make. Choose All and search again.
Why does my own recipe never show Ready?
Anything left marked as a Bottle has to be ticked on Bar stock. Untick Bottle on juices and syrups.
How do I let a bartender update counts?
Give them "Manage experiences, service periods and the bar" in Team access. Admins and management can already.
Why is an item still using a slot after I cleared its count?
Empty both On hand and Par. An item stays counted while either one holds a number.
