Which booking systems limit how many bookings you can take
The short answer
Several booking platforms sell monthly booking volume as the thing that separates their plans. SimplyBook.me publishes tiers at 50, 100, 500 and 2,000 bookings a month. Others, Setmore among them, publish no cap and charge for features or staff instead. Gaplessly's appointment plans have no booking cap; its venue plans cover 100, 350 or 1,500 bookings a month, published on the pricing page.
Why this is the question to ask late, and should be asked early
Nobody chooses booking software by reading the volume limits. You choose on features and price, you set the thing up, you get busy, and then one month the software tells you to upgrade. The upgrade is not for a feature you wanted. It is for permission to keep taking the bookings you already earned.
A booking cap prices your good months, so find out where each one sits before you sign up, ours included.
The caps, as published
SimplyBook.me is the clearest example because the cap is the product ladder. Their pricing page sells Free at 50 bookings a month, Basic at 100, Standard at 500 and Premium at 2,000, with an Enterprise tier above that. The features differ too, but the volume is what the tiers are named for.
Setmore used to be the other example: until recently its free plan capped appointments at 200 a month. Its pricing page now lists the free plan as unlimited appointments for up to 4 users, so its limit moved from volume to staff and features. A fifth user, text reminders, deposits or two-way calendar sync is what moves a Setmore team onto Pro; a busy month on its own no longer does. Read from setmore.com/pricing on 9 October 2026.
Marketplaces meter differently again, and it is worth counting as the same thing. A per-cover fee and a percentage of a new client are both charges that rise with volume. The label changes; the direction does not.
How ours work
Appointment plans have no booking cap. Solo is free up to 50 bookings a month and A$19 in a busier one, and Growth and Pro never change with volume. The only line is fair use, 1,000 bookings a month per team member, and past it we contact you first rather than throttle anything.
Venue plans are sized by bookings. Venue Starter is free up to 35 a month and A$49 in a busier one, covering up to 100; Venue Growth covers 350 for A$99 and Venue Pro 1,500 for A$199. A month up to 5% over is a heads-up, not a bill. Further over, or over two months running, means moving up a plan, with 7 days' notice before online booking would pause. Venue Pro never pauses: past its cap, we talk about Venue Custom.
With no card on file, a month past the free band gets the same 7 days' notice, and a pause never starts before a weekend. Existing bookings keep working either way.
Texts cost A$0.09 per text on the Growth and Pro plans, because the mobile carrier charges us for each one. Email confirmations and reminders are included and unmetered on every plan, so a booking is never left unconfirmed because of a limit.
Common questions
Which booking systems limit bookings per month?
SimplyBook.me sells its plans by monthly booking volume: 50 on Free, 100 on Basic, 500 on Standard and 2,000 on Premium. Setmore no longer caps its free plan: it lists unlimited appointments for up to 4 users. Marketplace platforms apply the volume principle in a different form, charging per seated cover or a percentage of a new client. SimplyBook.me figures read from its pricing page on 11 August 2026, Setmore on 9 October 2026.
Does Gaplessly limit how many bookings I can take?
Not on appointment plans: Solo, Growth and Pro have no booking cap, only fair use of 1,000 a month per team member. Venue plans cover 100, 350 or 1,500 bookings a month, and a venue that outgrows one moves up a plan, with 7 days' notice. There is no limit on client records on any plan.
What happens on a busy month?
On an appointment Growth or Pro plan, nothing changes and your bill does not move. On Solo or Venue Starter with a card on file, a month past the free band is A$19 or A$49; without a card, you get 7 days' notice before online booking pauses, and existing bookings keep working. A venue plan can run up to 5% over its bookings in a month with just a heads-up. Texts are A$0.09 per text and appear on your normal invoice.
