Microsoft Bookings Alternative: Is It Really Free?
The short answer
Microsoft Bookings is free only if you already pay for a qualifying Microsoft 365 Business plan, starting at A$12.60 per user/month (ex GST) for Business Basic; there is no standalone free version. It handles simple one-to-one appointment scheduling well, but it has no native payments, no marketing tools, no branded booking page and no way to book a table or a party, which is where a dedicated tool like Gaplessly takes over.

What is Microsoft Bookings, and how does it work?
Microsoft Bookings is an appointment-scheduling app bundled into a qualifying Microsoft 365 Business subscription, never sold on its own (learn.microsoft.com, microsoft.com, checked 2 September 2026). It offers Personal Bookings (one person's own availability) and Shared Bookings (a team booking page), syncs to Outlook, and can attach a Microsoft Teams video link for virtual appointments.
- A business sets its services, staff and available hours in the Bookings app.
- It publishes a booking page and shares the link.
- A customer picks an open slot; the booking lands straight on the connected Outlook calendar.
- A confirmation and reminder go out automatically, with an optional Teams link attached.
Is Microsoft Bookings actually free?
No standalone free plan exists. Bookings is included at no extra cost with a qualifying Microsoft 365 Business plan. As at 2 September 2026, sourced from microsoft.com/en-au: Business Basic is A$12.60/user/month ex GST on monthly billing, or A$10.50/user/month ex GST paid annually upfront. Business Standard and Business Premium also include Bookings, at higher monthly prices, with no Bookings-specific feature added over Business Basic.
Where Microsoft Bookings genuinely holds up
- Reliable, native Outlook calendar sync.
- Simple staff scheduling for a small team already inside Microsoft 365.
- Zero extra cost if you already pay for a qualifying plan.
- Low setup effort for straightforward one-on-one appointments.
Where it runs out for a growing business
A client sees a generic Microsoft-hosted form, not the business's own branding. There is no native way to take a deposit or hold a card on file, so an unprotected no-show is lost revenue with nothing to fall back on. There are no marketing tools: no email or SMS campaigns, no loyalty, no gift cards, nothing beyond a transactional reminder. And there is no concept of a party, a table or a service period anywhere in the product, so a restaurant or venue owner finds out mid-setup that Bookings was never built for them at all.
Microsoft Bookings has no concept of a table, a party size or a service period. It was built for one person meeting one person, not for a restaurant floor.
When Microsoft Bookings is enough
If you are a solo practitioner already on Microsoft 365, with no need to take deposits, run marketing campaigns or manage a table floor, Bookings is enough, and switching would cost you time for no real gain.
Which one should you choose
Choose Microsoft Bookings if you are, for example, a solo bookkeeper taking phone consults, already paying for Microsoft 365, with no need for deposits or a branded page. Choose Gaplessly if you are, for example, a two-chair hair salon that wants deposits, a real website, and a booking page that carries your own name, or a restaurant that needs table and party bookings at all.
When Microsoft Bookings is the right choice
You are a solo practitioner or a very small team already paying for a qualifying Microsoft 365 Business plan, your scheduling needs are simple one-to-one appointments, and you do not need deposits, marketing tools or a booking page that carries your own branding. Bookings is already paid for on that plan, and switching would add a cost for no real gain.
Common questions
Is Microsoft Bookings free?
Microsoft Bookings has no standalone free plan. It's included at no extra cost with a qualifying Microsoft 365 Business subscription, starting from A$12.60 per user/month ex GST for Business Basic on monthly billing, as at 2 September 2026. If you don't already pay for Microsoft 365, there's no way to use Bookings for free.
How does Microsoft Bookings work?
Microsoft Bookings gives you a web-based booking page synced to your Outlook calendar. You set your services, staff and available hours, then share the booking link; customers pick an open slot and it's added straight to your calendar. It supports Personal Bookings (your own availability) and Shared Bookings (a team booking page), with optional Microsoft Teams video links for virtual appointments.
What's the cheapest Microsoft 365 plan that includes Bookings?
Business Basic, from A$12.60 per user/month ex GST on monthly billing, or A$10.50 per user/month ex GST if paid annually upfront, as at 2 September 2026. Business Standard and Business Premium also include Bookings, at higher monthly prices.
Can Microsoft Bookings take payments or deposits?
No. Microsoft Bookings has no native payment collection, so it can't charge a deposit at the time of booking or hold a card on file to protect against no-shows.
Can I use Microsoft Bookings for a restaurant or venue with tables?
Not really. Microsoft Bookings is built around one-to-one appointment slots, Personal Bookings and Shared Bookings, with no concept of a party size, a table, or a service period, so it isn't designed for restaurant or venue-style table reservations.
What's a good alternative to Microsoft Bookings for a small business that wants its own branded booking site?
Gaplessly is built for exactly this gap: a branded, client-facing booking widget under the business's own name, Stripe deposits and no-show protection, marketing tools like email campaigns, gift cards and loyalty, and a built-in website builder, so the whole booking page and site run from one login. It also has a dedicated hospitality mode for restaurants and venues, which Microsoft Bookings does not offer at all.
