How your customers book online

Customers book through your own page with no account needed, and the exact steps they see depend on whether your business runs appointments or table reservations.

Quick answer

Customers go to your booking page (gaplessly.com/yourbusiness, or your connected domain), pick a service or a table, choose a time, enter their details, and get an instant confirmation by email, and by text too if you have that switched on. No account or app is needed on their side.

1. Where customers book

Customers book without creating an account or downloading anything. They go straight to your business's own page at gaplessly.com/yourbusiness, or your connected custom domain if you've set one up.

  • Works from a phone or a desktop browser, no app involved.
  • You can link to it from your website, social profiles, or your Google Business listing.
  • For an appointments business, that address opens a small marketing site (home, services, team, gallery) with a clear way through to book. For a table-reservations business, it goes straight into the booking page itself.

2. The booking steps

The exact steps depend on your business type, set when your account was created. Both walk the customer through a short, straight-line flow and end in an instant confirmation.

1Choose a service, or a few for one visitChoose an area or room, or leave it as "No preference"
2Choose a team member, or leave it as Any AvailablePick a date, time and party size
3Pick a date and timeAdd their name, phone, email and any notes
4Add their name, phone, email and any notes, then confirmConfirm

If you take deposits or ask for a card on file, appointments customers see one extra step before they can confirm.

If you haven't set up any areas or rooms for table reservations, step 1 is skipped entirely and the booking starts straight at date, time and party size.

3. Choosing a team member, or skipping it

By default, appointments customers can pick a specific team member during booking. You control whether that step appears at all.

Tip:Turn the team-choice step off and every online booking goes in as Any Available, leaving the assignment to your own rota rather than the customer's preference.

4. If the date they want is fully booked

This applies to table reservations. When every table is taken for the date a guest has chosen, they may be offered the chance to join a waitlist instead of just seeing an empty page. See "How the Waitlist works" for exactly how that works, and which businesses currently have it.

For appointments, if a specific team member or time isn't available, the customer simply sees a different day, team member, or time. See "Why a time isn't showing on your booking page" for the reasons a time can disappear.

5. What happens after they book

  • An instant confirmation, by email and by text if you've turned text messages on.
  • A self-service link to manage the booking, if you allow guest self-service, letting the customer reschedule or cancel it themselves, as long as they're still inside whatever window you've set for changes.
  • A way to add the booking to their own calendar, which works even if self-service reschedule and cancel are switched off.
Note:Customers are recognised by the email address they book with. The same email keeps every visit under one client record on your side, so it's worth encouraging repeat customers to keep using it.
