Why a time isn't showing on your booking page

A missing time is worked out fresh every time the page loads, and it almost always comes down to one of a short list of ordinary reasons rather than a fault.

Quick answer

If one specific time is missing, check whether that team member is rostered on then, whether the service actually fits before their next booking, and whether someone already has that time. If a whole day looks empty, check your opening hours, any closures, and your notice and advance-booking settings.

1. What's actually happening

The booking page only ever shows times that are genuinely bookable right now. Availability is worked out fresh every time someone loads the page, using your current hours, team, services and existing bookings, rather than from a stored list. If a time isn't there, it's because one specific thing rules it out, not a glitch.

2. When one specific time is missing

For an appointments business, an individual time can go missing for a handful of ordinary reasons:

  • The team member isn't working then. It falls outside their rostered hours for that day, they've blocked that time off, or nobody who performs this service is rostered on at all that day.
  • The service doesn't fit. A 90-minute service can't start at a time that only leaves 60 minutes before the next commitment, or before closing.
  • It's already taken. Another customer already has that team member booked for that time.
  • You're closed then. It falls outside your opening hours for that day.
  • It's too close to now. See the cut-off setting below.

3. When a whole day disappears

This mostly comes up for table reservations, where a date can vanish entirely rather than just losing a few times:

ReasonWhat it means
Closed that dateYou've marked that specific date as closed, for a holiday or a private event.
Doesn't trade that dayThat day of the week isn't part of your normal week at all.
No tables set upNo tables have been configured for online booking yet.
Area or tables lockedYour team has locked out every table you could be seated at for that date, for example to hold the venue for a private function. Try another day.
Party too largeNo table, or combination of tables, can seat a group that size. Large groups need to get in touch directly.
Fully bookedEvery table is taken for that date.
Too far aheadThe date is further out than you currently take online bookings for.
All sittings have passedFor today, every remaining sitting has already started.
Tip:Only "fully booked" offers a waitlist. Every other reason on this list means no cancellation will ever free anything up, so the option to wait deliberately doesn't appear for them.

4. The two settings that control the edges

Two independent settings decide how close to now, and how far into the future, online booking is allowed. Both are optional, and do nothing until you set them.

  • Minimum notice trims individual times close to now, for example ruling out anything starting in the next hour, while leaving the rest of an open day untouched.
  • Maximum advance caps how far ahead someone can book at all. Past that date, the whole day is unavailable, not just some of its times.

5. If a time still looks wrong to you

  • Check the team member's working hours actually cover it.
  • Check the service is assigned to that team member at all.
  • Check for a one-off block, day off, or closure on that date.
  • Check for a team lock covering that date, if you run table reservations.
  • Check your minimum-notice and maximum-advance settings.
