The big picture
Every Gaplessly confirmation email carries a private link to that one booking. From it, a restaurant guest can move or cancel a reservation, and salon and clinic clients can reschedule appointments, with no account and no phone call, up to the cutoff you set. A change a guest makes updates the booking already in your calendar, and a message lands in your Inbox as a thread on that booking. It comes on every plan with no commission: Venue Starter is free up to 35 bookings a month and Solo up to 50.
As soon as a booking is confirmed, whether it is a table for tonight or an appointment next week, the confirmation email carries a Manage your booking button tied to that one booking. The guest also sees a button to change or cancel on screen straight after booking. Opening the link is the whole login.
A restaurant guest gets a link to their reservation. A salon or clinic client gets a link to their appointment. Either way the link opens that single booking and nothing else. From it they can also add the booking to Google Calendar, Apple Calendar or Outlook.
The link goes in emails. The standard text messages do not include it.
From the link, a guest or client taps Change time, picks a new date and time from your live availability, and the booking moves. Otherwise that is a phone call during business hours, while someone finds the booking in the diary.

You decide how close to the booking people can still change or cancel online. Pick a preset, or set the two cutoffs yourself, anywhere up to 30 days before the booking:
With a preset, once the cutoff passes the button disappears and the guest is asked to contact you directly. With your own cutoffs you can choose that, or let the change go through anyway, in which case the guest is told it is later than you usually allow and that you may follow up. Guests see your policy as a plain sentence when they book and again on their booking page, for example: "You can reschedule or cancel online up to 24 hours before your booking. After that, please get in touch to make changes."
If you take deposits, your deposit policy decides the money: a guest who cancels before your refund window closes is refunded in full, and after it the deposit is kept. You can also switch online changes off altogether, and the booking page then tells guests to contact you.
The same page lets a guest or client send you a message, whether they are running late or want to mention an allergy. It lands in your Inbox, one inbox for appointments and reservations, as a thread tied to that booking, with an unread count in the sidebar and the notification bell. It cannot sit unread in a general email inbox and lose track of which booking it was about.
You reply from the thread, by email or, if your plan includes texts, by text. The guest sees your reply in the thread on their booking page as well, and anything either of you writes next is added to the same conversation.
A guest message shows up in the Inbox; your team is not emailed about each one.
Nothing here gives your team a new place to check. Reschedules, cancellations and messages all land in the calendar and Inbox you already work from, and each team member gets an email alert when a booking is changed or cancelled unless they have switched those alerts off.
Nobody has to stop mid-service to answer the phone for a simple time change, and whoever is on shift sees the booking as it stands now. A thread on the booking carries its context for whoever picks it up next.
No. The Manage your booking link in their confirmation email is all they need to make the change. There is no account to create and no password to remember.
Yes. The same link offers both, a new time or a cancellation, up to the cutoffs in your cancellation policy, so neither needs a phone call.
Yes. Set how many hours before a booking online changes and cancellations close, using a preset or your own cutoffs of up to 30 days. After that, guests are asked to contact you, or with your own cutoffs you can let the change through with a late-notice warning instead.
No. Moving a booking keeps the same party size, or the same service and team member for an appointment. For anything else the guest sends you a message from the same page and your team makes the change.
Into your Inbox, as a thread attached to that booking. You reply from the thread by email, or by text if your plan includes texts, and the guest also sees your reply on their booking page.
Yes, it is the same tool underneath. A restaurant's guest and table become a client and a team member on the appointments side, and reschedule, cancel and message work the same way for both.
No. Each link is limited to one booking at one business. Opening it does not lead to a general dashboard and does not show any other guest's or client's booking.
