Part of your marketing toolkit

The big picture

Campaigns & Rebooking, at a glance.

Gaplessly's marketing tools give you two ways to bring someone back: a one-off campaign you send to a chosen client or guest segment, and an always-on rebooking nudge, a follow-up reminder for clinics, that goes out on its own once you set it up. Both draw on the client or guest records already in your Gaplessly dashboard, so there is no separate list to build or keep in sync. It works the same way across the appointments and hospitality sides of the platform.

Two tools, two rhythms

A campaign is something you start yourself. You choose the segment of your client or guest list it should reach, write the message once, and send it out by email or SMS. Everyone in that segment gets it at the same time, the way a broadcast does, and nothing goes out again until you send the next one.

The rebooking nudge works the other way around. You set it up once, and after that it runs on its own, watching for the moment an individual client, guest or patient is due to come back and sending the reminder itself, with no one on your team having to remember or click send.

Sending a one-off campaign

A campaign fits a specific moment: a quiet week you want to fill, a new service or offer, a message that only makes sense to send once rather than on a loop. Because the segment comes from the client or guest records already in Gaplessly, there is no export to prepare or an audience file to upload elsewhere first.

  • Pick the segment: a group drawn from your existing client or guest list.
  • Pick the channel: email or SMS.
  • Write the message once and send it. It reaches the whole segment in one go.
  • Nothing repeats on its own. A campaign is a single send, not a recurring series.

The nudge that runs itself

Once the rebooking nudge is turned on, it does not wait for a staff member to remember it. It runs continuously in the background of your Gaplessly dashboard, and when a client or guest is due to come back, it sends the reminder itself.

For a salon or spa, this is aimed at bringing the next visit closer, reaching the client who is due for their usual appointment. For a restaurant or venue, it works the same way for a guest. For a clinic, the same mechanism runs, but the message is a follow-up reminder rather than a rebooking nudge.

The clinic framing is deliberate, not cosmetic. The trigger and the automation are the same underlying feature, but a clinic's version is built to prompt the next check-in, not to pitch a return visit.

Same client and guest records, nothing to export

Campaigns and the rebooking nudge both pull from the client or guest records that already live in your Gaplessly dashboard: the same bookings, contact details and visit history you look at every day. There is no separate marketing platform to log into, and no list to hand off or keep in sync by hand.

Hospitality businesses get more marketing than just this. Gift cards, loyalty and promotions are also part of the platform, and they reuse the same guest list rather than exporting it to a separate tool.

  • Gift cards, sold and redeemed through the same guest list.
  • A loyalty program, running off the same guest records.
  • Promotions, applied to that same guest list rather than a separate export.

Those are their own tools, covered on their own terms. This page is specifically about the campaign you send and the nudge that runs on its own to bring a client, guest or patient back.

Common questions

A campaign is a one-off message you send yourself to a chosen client or guest segment. The rebooking nudge is automated: once it is set up, it sends itself whenever an individual is due to come back, with no one triggering it each time.
