Waitlist, at a glance.

Gaplessly gives your restaurant one Waitlist screen with two distinct workflows. Waiting now is for walk-ins your team adds at the door; Future dates is for guests who join online when their chosen date is full. You can text a waiting party when a table is ready, subject to SMS access, or send an online guest a link to book. Joining the waitlist does not hold a table or confirm a reservation.

Give your host a list for the people waiting now

At the door, you add a name, party size, phone number and quoted wait. The Waiting now tab keeps these walk-ins together, with their elapsed wait visible so you can compare what you promised with how long they have actually been waiting.

When a table becomes available, you can send a Table ready text if your plan has SMS access. Seat now lets you choose an available table and create the reservation from the waiting party, carrying their details into the booking instead of sending you back to retype them on the floor screen.

Keep future-date interest separate from tonight's queue

A guest who finds their chosen date full on your public booking page can ask to hear if a table opens up. Their request appears under Future dates, with the date, party size and contact details you need to decide whether a new opening suits them.

You choose when to offer a table. The guest receives a link to book it themselves, and availability is still checked when they book. Neither the request nor the offer reserves a table, so you are expressing an opportunity rather than promising a seat that has already been held.

Use the right workflow for each kind of request

Your walk-ins and online requests share a Waitlist destination, but they keep separate tabs and actions. A phone number collected at the door supports a table-ready text; an online request supports an offer to return to the booking page. You do not have to treat a guest outside your door like someone planning next month.

Group and function enquiries serve a different purpose. Those are conversations about larger parties, where your team can hold tables while arranging details. The waitlist records interest without holding capacity, making it useful for an ordinary party waiting for an opening rather than a function still being planned.
