The big picture

Products & Stock, at a glance.

Gaplessly's Products & Stock catalog lets salons, clinics and spas track the retail and aftercare products they carry, with a price and an optional low-stock threshold on each one. Every delivery, stocktake and damaged item is logged as its own dated entry, so the stock number on screen comes from a real history instead of a figure someone last typed in by hand. Restaurants and venues use a related but separate tool, Products/Experiences, for ticketed events and deposits rather than shelf retail.

One catalog for everything on your shelf

The catalog holds whatever your business carries outside its services: retail skincare, an aftercare line you send clients home with, or general shelf products a salon or clinic sells alongside appointments. Each one is its own entry, not a note in a spreadsheet, so it stays in the same place your team already works from.

Every product gets a price, and a low-stock threshold is optional rather than forced on you. Set one where it's useful, a best-seller you reorder often, and leave it off a slow mover you check on manually. Nothing about the catalog assumes every product needs the same treatment.

  • A price on every product, so what you charge for it is always on hand
  • An optional low-stock threshold, quiet until you set a number worth acting on
  • A current stock count that comes from the log below, not a figure you overtype whenever it looks wrong

Deliveries, counts and damage stay separate, and logged

Stock doesn't move by editing a number. It moves by logging what actually happened, and Gaplessly keeps each kind of event distinct instead of folding them into one generic adjustment.

  • Log a delivery when new stock arrives, adding to what's already on the shelf
  • Run a stocktake and record the total you actually counted, and the difference against the previous figure is worked out for you
  • Log damaged or wasted stock on its own, separate from a delivery or a count, so it doesn't get lost inside an unexplained drop

Because each entry is dated and kept, the product's stock level is a running history rather than a snapshot. If a count looks wrong three weeks from now, you're reading back through what actually happened to it, not guessing.

The same structure, whichever appointments business you run

A salon typically uses this for retail lines it resells to clients between visits. A spa uses it to keep the aftercare shelf in order, the products a client is sent home with after a treatment. A clinic uses it for whatever products the practice carries alongside its services. The catalog itself doesn't change shape between these, only what you choose to put in it.

That matters day to day because whoever is at the front desk or in the treatment room can check what's in stock and what it costs without tracking down whoever last restocked the shelf or guessing from what's physically visible.

Hospitality: Experiences, not a retail shelf

This page mainly describes the appointments-side catalog above. Restaurants and venues don't sell shelf retail through Gaplessly, so hospitality gets a related but distinct feature instead.

For hospitality, Products/Experiences covers ticketed events rather than physical stock, a set night, a class, a themed evening, anything a guest books ahead of time. Where the appointments catalog tracks a price and a stock count, an Experience takes a deposit when it's booked, holding the guest's place rather than holding an item on a shelf.

Products/Experiences shipped as a first version, and per-partner Experiences work is still evolving as we build it out with the hospitality venues actually using it. It is not the same feature as the appointments retail catalog described above, and doesn't do the same job.
