Add-ons, rooms and equipment

Add-ons are optional extras with their own time and price. Rooms and equipment are the things a service needs, so a time is only offered online when one is free.

Quick answer

Both live at the bottom of the Services page. Under Add-ons choose Add add-on, give it a name, extra time and price, and tick the services it goes with. Under Rooms and equipment choose Add resource, set how many you have, and tick the services that use it.

1. Creating an add-on

  • On the Services page, under Add-ons, choose Add add-on.
  • Give it a Name, for example Deep conditioning.
  • Choose Extra time (or No extra time). The time is added at the end of the service, after any processing.
  • Set the Extra price.
  • Under Offered with, tick the services it goes with. Customers see the extra only on those services.

Archiving an add-on takes it off your booking page and New booking. Bookings that already have it keep it.

2. How add-ons are booked and paid

Online, customers see Add extras under each service they pick, with the extra price and time. In New booking, the Add-ons list sits under the service, one list per service when there are several.

On the bill, each add-on is its own line under its service, at the price it was booked at, and counts for the team member who did that service.

3. Adding a room or a machine

  • On the Services page, under Rooms and equipment, choose Add resource.
  • Give it a Name, for example Vichy room.
  • Set Quantity, how many of them you have (up to 20), and Capacity, how many bookings each can hold at once (up to 10). With more than one, you can name each one.
  • Under Used for, tick the services and add-ons that need it. With several named ones, choose Any or pick which ones a service can use.

After you save, any existing bookings that now overlap on that resource are listed, so you can move one or keep both.

Note:Rooms and equipment come from Solo up. On Free the section still shows, locked, with a link to choose a plan.

4. How a room is chosen

You never pick a room by hand. When a booking is saved, Gaplessly gives it a free one. Online, a time is only offered when one of the resources a service needs is free, so customers can never double-book a room.

In New booking and the booking's details, a Rooms and equipment line shows which one it uses and when. If none is free at that time, you see a warning naming the clash, and you can still save it.

5. Rooms on the calendar and blocking time

In the calendar's Staff view, open Filters and tick a room or machine under Rooms and equipment to give it its own column.

To take a room out of use, for maintenance or a deep clean, open its column menu and choose Block time. Set the day and times, and tick Repeat weekly if it happens every week. Customers can't book anything that needs it online then. Bookings already made stay put.

Note:Room columns are for seeing what is booked. Bookings move from the team member columns, not from a room column.

6. The By resource report

Under Reports, Rooms and equipment, By resource shows each room and machine over the last 7, 30 or 90 days: bookings, hours booked and utilisation, which is booked time against your open hours. Export CSV downloads the table.
