Book more than one service in a visit

A visit can hold several services, like a cut and a colour, each with its own team member and start. Customers can book the same online, and the bill credits whoever did each service.

Quick answer

In New booking, pick the first service, then Add another service. Under Order and times, each service gets its own Team member, Starts and Length. To let customers book several services online, open Settings, Booking rules, House Policies, and turn on Customers can book more than one service in a visit.

1. Adding services to a booking

  • Open New booking and pick the first service.
  • Choose Add another service, then pick the next one. A visit can hold up to 6 services.
  • The field reads Services once there is more than one, with the total length underneath ("Takes ...").
  • Each extra service has its own remove button if you change your mind.

The Staff field at the top is the default team member for the whole visit. With several services it lists anyone who does at least one of them.

2. Order and times

With more than one service, an Order and times panel lists each service as a card showing when it runs. Drag a card, or use Move up and Move down, to change the order for this visit.

Each card has its own Team member, Starts and Length, so a colourist can start the colour while a stylist takes the cut later. If the person you pick is not set up for that service, the card says so.

Note:If two services overlap with the same team member, you see a warning naming the overlap, but the booking can still be saved. It is there to catch mistakes, not to stop a deliberate double-up.

A team member who does one service in a colleague's visit can change only their own card's start and length.

3. Setting the usual order

On the Services page, open the More service options menu and choose Booking order. Put the services in the order they normally run, then Save order. Online bookings follow it, new bookings in the dashboard start in it, and you can still change the order of one visit by hand.

4. On the calendar

Each service shows as its own card in its own team member's column, with a small marker such as 1/3 so you can tell it belongs to a bigger visit.

When you drag one service of a visit, you are asked What moves: The whole visit or Only that service. Dragging to another day always moves the whole visit. Dropping into another person's column starts on Only that service, and a new time in the same column starts on The whole visit.

If the move would give a service to someone who does not do it, or run it into the next service, you see a warning and can still move it. When the time changes, tick Notify the customer of this change to let them know.

5. Letting customers book several services online

Open Settings, then Booking rules, and the House Policies tab. In the Booking Policy card, two switches decide this. Both start switched on.

SwitchWhat it does
Customers can book more than one service in a visitCustomers can pick several services and book them as one visit. Switched off, they pick one service per booking.
Customers can book a visit with more than one team memberOnly when one person can't take the whole visit: each service goes to someone free who does it, one straight after the other. A time one person can take always stays with them.

With the second switch on, the staff list on your booking page includes anyone who does at least one of the chosen services, with a line such as "Cut & Colour only" under someone who does only some of them. The review step says "with another team member" when a visit is shared.

Note:You and your team can always book any services with anyone from the dashboard, whatever these switches say. A customer moving their own booking from their confirmation link keeps it with one team member.

6. Paying for a shared visit

When you close out a visit, The bill starts with the booked services and any add-ons at the price they were booked at. Each line has a Who did picker that says which team member it counts for.

  • Each service counts for the team member who did it.
  • A tip is split by what each person's services came to.
  • A refund by item comes off that line's team member. A refund by amount is split the same way as a tip.
  • Discounts, gift cards and deposits are shared by each person's part of the bill.
  • Every share is in whole cents and the shares always add back up to the total.

The By team report shows the result per person, and notes that a visit with more than one team member is split between them.

Common questions

Who can change the booking order?
Anyone allowed to manage services. The two online switches belong to whoever can manage the business settings.
Can a customer book two services with two different people on purpose?
Online, a visit is only shared when one person can't take all of it at that time. In the dashboard you can give each service to anyone you like.
Is this available for restaurants and bars?
No. Visits are part of the appointments side of Gaplessly. A hospitality booking is a party at a table, not a list of services.
