AI Terms, the assistant and AI features

1. What these cover

The in-app assistant, Lessly, which answers questions about your business and helps you find your way around; drafted replies in the inbox; and the AI booking connector, which lets AI assistants such as ChatGPT or Claude find your business. The connector has its own page, which explains exactly what it can and cannot see.

2. What the assistant can see and do

  • It reads the information the signed-in person’s role can already see, such as bookings, clients and reports, to answer their question, plus any file they attach.
  • It answers, explains and drafts. It does not create, change or cancel bookings, or send messages to your customers, by itself. A person decides what to do with its answer.
  • It can remember short facts a person asks it to remember, so it does not need telling again.
  • Each plan includes a monthly allowance of AI use, shown in the dashboard.

3. Where the information goes

A question, and the information needed to answer it (which can include a customer’s name, email, phone number or booking history), is sent to OpenRouter, which passes it to whichever AI model is answering at the time. Those models may run in the United States or China, and which one is used can change. Some are offered on terms that let the model provider keep and review what is sent to it. So please do not put health details, card numbers or passwords into the assistant.

We do not use your information, or your customers’, to train AI models.

4. Check what it tells you

AI answers can be wrong, out of date or incomplete, even when they sound certain. Check anything that matters before you rely on it, and read a drafted reply before you send it: what you send to a customer is your message. What you put into the AI features, and what they give back to you, is yours to use as you wish; we claim no ownership of it.

5. Decisions about people

None of our AI features makes a decision about one of your customers on its own. Rules that run automatically, such as which times are free or who is offered a waitlist spot, follow the settings you chose, not an AI model.

6. The booking connector

Businesses on Gaplessly can be found through the AI booking connector, using only what their public booking page already shows. If you would rather your business was not findable that way, email support@gaplessly.com and we will remove it.

7. Changes

AI models and providers change often. We may change which ones we use, or pause an AI feature, and we keep the Sub-processor list up to date when we do.
